1. Confirm the approved sample
For a new style, changed fabric, custom label or packaging, keep the final approved sample, size chart, fabric notes, colour reference and trim details together. These are the production reference.
2. Break the order down by colour and size
Confirm the quantity for every style, colour and size, whether colours and sizes may be mixed, and whether any colour has its own minimum. A written breakdown reduces avoidable mistakes.
3. State when the lead time starts
Ask whether the schedule starts after sample approval, material confirmation, deposit receipt, label approval or all of these. Chenqi Clothing states a typical bulk lead time of 15–30 days after sample approval; the actual schedule depends on style, fabric, trims, quantity and production planning.
4. Agree what will be checked before shipment
Confirm the documents used for checking: size and colour breakdown, visible workmanship, labels, single-piece packaging, cartons and shipping marks. If you need pre-shipment photos, video or third-party inspection, agree on the timing and standard before production is complete.
5. Confirm final handover
For EXW Yiwu or FOB Ningbo, write down the handover place, forwarder contact, pickup timing, carton marks and required documents.
